Steward Conduct Expectations

Every Member who is tasked with the operation and implementation of our Events and/or our Social Club may be considered a Steward or Warden Member, otherwise known as a Volunteer Staff or Volunteer Officer who may have to pay for their membership in order to contribute to their provisions or shelter budget. All Stewards or Wardens are expected to know and then maintain the Community, Event, Troupe, and Steward Codes of Conduct.

We Stewards and Wardens have elevated roles within Wandering Folk Society and are expected to uphold the ethical standards of nonprofit social clubs. This means:

1.      Being Role Models

§  We will Lead By Example: We Stewards and Wardens are expected to model respectful, inclusive, and ethical behavior, demonstrating integrity and commitment to the Society’s mission and trying to remember to have fun when we can and be safe where we must. 

2.      Safeguarding Resources

§  We will be Responsible Guardianships of Resources: As overseers of the Society and our Events, we will prioritize the responsible use of resources and ensure decisions align with the best interests of our Organization, Community, and Members. We may be tasked with participating in inventory. We will follow all Financial Procedures and Policies, which are outlined Below, and any other Policies or Procedures assigned to us by a Lead, Warden, or the Board.

3.      Recognizing Bias and Conflicts of Interest

§  We will Avoid our own Conflicts of Interest: Because we are in positions to affect the actual change of an Organization, we must be cognizant of letting any Conflicts of Interest affect us. We must avoid conflicts of interest and act transparently, prioritizing the welfare of the Society above personal interests. A more detailed Conflict of Interest Policy is Below.

Ø  Storyline Participation by Wardens and Stewards:  Any Warden or Steward involved in a Game’s storyline may participate for the purpose of enhancing story creation and immersion. However, their access to gamerunning details may impact their eligibility or ability to engage in competitive or “win” conditions within the game, ensuring fairness and an undistorted player experience.

Confidentiality and Integrity Standards
for Troupe Members, Stewards, and Wardens

As dedicated members who contribute to the operations, community, and experience of Wandering Folk Society and its Events, Troupe Members, Stewards, and Wardens are held to a heightened standard of confidentiality and integrity. This commitment is essential to maintaining trust, respect, and alignment with the Society’s core values, principles, and mission.

1.      Confidentiality Requirements

§  Game Information: Information related to in-game elements, plotlines, or character development must be kept confidential to preserve the immersive experience for all participants.

§  Internal Operations: Members are sometimes entrusted with sensitive information regarding the internal workings of the Social Club. This information, including financial information, unreleased or developing decisions and deliberations, sensitive member information, and procedures, must be treated as confidential and not shared outside the authorized circle.

2.      Commitment to Uphold Core Values

§  Standards of Conduct: Troupe Members, Stewards, and Wardens are expected to uphold and model the core values, principles, and mission of Wandering Folk Society at all times. Any actions that undermine these values, either within or outside of Society activities, will be treated as a breach of responsibility.

§  Presumption of Voluntary Withdrawal: Should a Troupe Member, Steward, or Warden engage in actions that undermine or harm the Social Club, it will be presumed that they no longer wish to be a part of the Society. Removal from their role will be the standard course of action, following all applicable Conduct Review and Removal procedures.

3.      Encouragement for Constructive Dialogue

Wandering Folk Society values the insights and perspectives of its Troupe Members, Stewards, and Wardens, recognizing them as experienced contributors to our Community. Members are encouraged to use their voices to express any concerns or disagreements with Society policies, procedures, or practices in a constructive and respectful manner.

Understanding the importance of maintaining a boundary between event participants and operational members, we encourage all Troupe Members, Stewards, and Wardens to raise their opinions internally as a first step to help effectuate changes in our policies and procedures. Constructive feedback is highly valued and will always be considered in our efforts to enhance the experiences we create for our Members and Event-goers. By fostering respectful dialogue and shared goals, we strengthen the integrity and community spirit of Wandering Folk Society.
