Wandering Folk Society Policies and Procedures
The Wandering Folk Society values creativity, camaraderie, and immersive experiences, all grounded in the shared love of Live Action Role-Playing (LARP). By fostering a supportive and inclusive environment, we ensure every member, from casual participant to dedicated organizer, can enjoy a meaningful and enriching experience. Here’s a summary of our core policies and procedures that will guide our community by giving it structure and providing a way for Members to have a voice.:
1. Code of Conduct (Section III)
Overview: The Wandering Folk Society strives to create a respectful, inclusive, and harassment-free space for all members, both in person and online.
Key Standards: Our zero-tolerance harassment policy applies across Society activities, ensuring a safe space where creativity and collaboration thrive. Members are expected to uphold these values during events, online forums, and all community interactions.
2. Discord and Online Community Policy (Section VII)
Display Names: To maintain clarity between members' real identities and their characters, specific naming conventions are required in official Discord channels.
Roleplay vs. Out-of-Character Interactions: While roleplay is encouraged in designated channels, respectful communication is expected in out-of-character areas.
Direct Messages and Moderator Support: Members are expected to follow the Code of Conduct in direct messages. Moderators and leadership are available to assist with interpersonal issues in online spaces.
3. Intellectual Property Policy (Section VIII)
Open Creative License: Members are encouraged to contribute creatively to the Society’s shared universe. The policy allows members to create derivative works based on Society lore, with required attribution ("Inspired by [Event Name] of Wandering Folk Society").
Commercial Use Limitations: Large corporations cannot use the Society’s intellectual property without approval. Members can create and sell derivative works within set guidelines, supporting a collaborative, community-driven atmosphere.
4. Conflict of Interest and Disclosure (Section XV)
Transparency and Integrity: To maintain integrity, members, especially those in leadership or Steward positions, are required to disclose any conflicts of interest that may arise, ensuring decisions reflect the Society’s best interests.
5. Membership Voting Rights and Decision-Making (Section XXIII)
Voting Rights: Members at all levels have a voice in significant decisions, including the election or removal of officers. Advisory votes influence many community matters, with binding votes available for officer-related elections.
Democratic Decision-Making: The Society emphasizes democratic input and collective decision-making, allowing members to influence policy updates and general operations.
6. Conflict Resolution Process (Section XXV)
Direct Communication and Mediation: Members are encouraged to address conflicts directly, with mediation available if needed. For unresolved issues, a Conduct Review Process (Section XXVII) provides a structured review for potential breaches of the Code of Conduct, with opportunities for appeal.
Conduct Review Process: Minor issues may be resolved informally, while more serious matters undergo formal committee review, ensuring fair and impartial handling.
7. Member Rights
Event Access: Participant members have access to flagship events, like Reckoning LARP.
Vendor Opportunities: Members may apply to become vendors at Society events, offering in-game items for in-game currency. Vendor agreements outline responsibilities, offerings, and any donation arrangements.
8. Committee Responsibilities
Steward Engagement: Stewards play a crucial role in event management, contributing to immersive gameplay and seamless operations. Responsibilities include attending committee meetings, collaborating on logistics, and adhering to Society policies.
Committee Participation: Members serving on committees are accountable for event planning, budgeting, and in-game management, supporting the Society’s mission through active and meaningful engagement.
9. Policy Updates and Amendments (Section XXXVII)
Evolving Policies: Society policies are reviewed and updated as needed. Members are informed of changes, and updates are often guided by member feedback, ensuring alignment with the community’s evolving needs.
